Editor Standard Operating Procedures

Welcome to the Infinite Creatives SOP Library. This outlines the processes, workflows, and guidelines used across our editing team to maintain clear communication, consistent standards, and high-quality output. While client-specific requirements, editing styles, and project expectations may differ, the principles and workflows outlined here should serve as the foundation for all work completed within the agency.

ClickUpClickUp
Project management & client collaboration
Software

ClickUp is the central hub for all client projects and team collaboration at Infinite Creatives. As a video editor, you'll use it to access project briefs, follow brand guidelines, deliver completed edits, and communicate with clients.

⚠️ This training video will walk you through ClickUp in more detail. Please watch the whole video — you will be assessed on this.

Dashboard & Navigation

  • ClickUp is where all client project submissions and collaboration happen
  • The sidebar lets you switch between workspaces, lists, and notifications
  • Each client folder contains two lists: Project Requests (where projects are submitted) and Brand Guidelines (the client's brand rules you must follow on every project)

Project Details

Open each project to see the full brief and instructions, including:

  • Business name (to match brand guidelines)
  • Deadlines
  • Instructions, references, resources, and attachments

Task Status Workflow

Always keep task statuses updated as they move through these stages:

  • To Do — new task (your queue)
  • In Progress — when you begin the project
  • Quality Check — review from your manager before delivering to the client
  • Waiting for Approval — after delivery, waiting for the client's review & feedback
  • In Revision — implementing the client's feedback
  • Completed — final approval
👉 Follow the daily workflow chart for exact timing on updating task statuses.

Draft Version Tags

  • Tag every project with the correct draft number (Draft 1, Draft 2, etc.)
  • Update the Tags box when delivering a new version
  • Ensures both you and the client can track progress clearly

Priority Flags (Set by Client Only)

  • Urgent — immediate attention, usually near deadline
  • High — important, prioritise after urgent
  • Normal — standard priority
  • Low — flexible / less critical
👉 Always start your shift by tackling Urgent and High flagged tasks first.

Activity Chat (Client Communication)

Located on the right side of each project. Use it for that specific project only — general chat goes in Slack/WhatsApp.

  • Deliver drafts
  • Share revisions/updates
  • Ask questions and confirm feedback

Best Practices:

  • Keep communication clear, concise, and professional
  • Use templates from the Communication Templates section for drafts & revisions
  • Tag clients with @Name to notify them
  • Always confirm you've received feedback/instructions

Frame.ioFrame.io
Video review & client feedback
Software

Frame.io is the video revision tool we use to enable seamless collaboration between you and our clients. This platform streamlines the feedback process, allowing our clients to review, comment, and approve video projects in real time.

By centralising revisions and communication, Frame.io ensures projects stay on track and meet expectations efficiently. The video below will guide you through using Frame.io effectively to enhance your workflow and client relationships.

⚠️ This training video will walk you through Frame.io in more detail. Please watch the whole video — you will be assessed on this.

Folders & Uploading

You'll see two main folders:

  • Quality Check Folder — Upload drafts here for internal review by your manager before sending to the client.
  • Client Folder — Upload here only after approval from the quality check stage, then deliver to the client via ClickUp.

Revised Versions

  • Always drag new versions over old ones to stack them.
  • This enables the compare versions feature and keeps the workspace clean.
  • ❌ Don't upload revisions as separate files.

Reviewing Feedback

  • Open a video → use the comment panel to see timestamped client feedback.
  • Click a comment → jumps to the exact point in the video.

After completing a change:

  • ✅ Tick off the comment to track progress.
  • Double-check that all comments are resolved before resubmitting to Quality Check.

Sharing Links with Clients

  • Select the project → click three dots → Create Share Link → Share.
  • Copy the link from the top bar or the purple Copy Link button.
  • Share this Frame.io link inside ClickUp when delivering a project.

Video Statuses

  • No Status — The video has not yet been reviewed.
  • Needs Review — The video has feedback and requires changes.
  • Approved (Green) — Video is approved by either your manager or the client.
    • If approved in Quality Check → upload to the client's folder and deliver in ClickUp.
    • If approved by the client → mark the project as complete in ClickUp.

How to Handle Unclear Feedback

  • If feedback is clear → make the change.
  • If feedback is ambiguous → ask the project manager or client for clarification.
  • If two comments conflict → flag the conflict rather than choosing yourself.
  • If you're unsure whether a change is actually required → ask the project manager.

InsightfulInsightful
Time tracking & productivity monitoring
Software

Insightful is the time tracking software we use to ensure all work hours are accurately recorded and projects are completed on schedule.

Required Work Hours

  • Full-time editors must clock 8 hours per day (Monday to Friday) — 40 hours per week.
  • Part-time editors must clock 3 hours per day (Monday to Friday) — 15 hours per week.
  • We will likely agree on a set daily working schedule based on your client's timezone. These hours will be agreed upon with management and are the expected times that you should be online, available on Slack, and actively working on your client's projects. Any changes to the agreed schedule must be communicated and approved in advance.
It is absolutely required to clock in for your dedicated work hours each week.

What Counts as Work Time

“Work time” is classed as the following:

  • Active editing and revisions
  • Reviewing footage and project briefs
  • Downloading/uploading footage (this can also be done outside of work time if it's a heavy file size project)
  • Rendering/exporting videos
  • Organizing project files
  • Communicating with clients/team on Slack
  • Planning/scripting/creative research related to an assigned project

Not considered work:

  • Watching YouTube unrelated to the project
  • Gaming
  • Running personal errands
  • Extended personal phone use
  • Leaving the computer unattended for long periods
  • Personal activities as above do not count. Don't clock in if you're working on things outside of Infinite Creatives.
  • Even if your current client(s) doesn't have any active projects in the queue, you are still expected to clock in your working hours in Insightful and be on ‘standby’. While you can perform other tasks outside of work during this time, you are expected to be ready to jump right into any new projects when the client submits work.
  • If you can't log in your required work hours for whatever reason, you must inform your manager as soon as possible.
⚠️ Because this is a contractual obligation, salary payments will be withheld if you do not log the minimum required hours each week.

How to Use Insightful

  • Accept the invite sent to your email.

  • Create a password for your account.

  • Install the desktop application for your operating system.

  • Log in to your account.

Once installed:

  • Clock In — start the timer whenever you begin working on projects.
  • Work — complete your tasks and projects as usual.
  • Clock Out — stop the timer when your workday is finished.

You'll get a short summary of your logged working hours each day within the desktop app.

Note: Insightful may ask for permissions on your computer — you should accept this.

Other Notes

  • There is no ‘break time’ feature within Insightful. If you would like to take a break from work, simply clock out and then clock in again once your break is finished.
  • The ‘Idle timeout’ is set to 10 minutes, meaning that if there is no screen activity after 10 minutes, the idle timer activates. We evaluate time splits accordingly and allow idle time for things like downloading footage and planning projects, but any excessive idle time will be investigated.

SlackSlack
Team communication & daily coordination
Software

Slack is the primary communication tool for the Infinite Creatives team. It's where you'll coordinate with your project manager, stay updated on project changes, and communicate with other editors — keep it professional and responsive during working hours.

Channels to join

  • #general — company-wide announcements and updates
  • #editors — day-to-day communication between editors
  • #projects — project updates, handoffs, and status changes
  • #renders-queue — post here when a long render starts or finishes

Best practices

  • Respond to messages within a reasonable time during your working hours
  • Use threads to keep conversations organised and avoid cluttering channels
  • Use project codes (not client names) in public channels to maintain confidentiality
  • For urgent issues, use @mention to notify the right person directly
  • Keep client communication in ClickUp — Slack is for internal team use only
⚠️ Never share client files, footage, or sensitive project details in Slack channels. Use the appropriate ClickUp task or shared drive instead.
